For foster care & kinship agencies

Foster care software that keeps up with the field. Every home, every youth, every deadline.

A foster care agency runs beds it doesn’t own, in houses it doesn’t staff, on files the state can pull any morning. Most foster care software keeps the youth’s record and ignores the other half of the job - keeping sixty foster homes licensed, trained, and visited. Kordera holds both halves in one system: licensing studies, placement matching, monthly home visits, birth-family visitation, court reviews, respite, and the placement days your board payments come from.

You’ve had this week.

The 10:52 p.m. placement call. Intake needs a bed tonight for a sibling pair, seven and nine. The answer lives in a licensing binder and one supervisor’s memory: who’s approved for two, who takes school-age, who just absorbed a respite placement, whose renewal quietly lapsed in March. You make eleven calls to place two kids, and the eleventh foster parent asks why you didn’t know she moved.

The training hours nobody can total. Every foster parent owes in-service hours before renewal. The certificates are in somebody’s inbox, the hour totals are in a spreadsheet, and the fingerprint-clearance dates are in a different spreadsheet. You discover a home is out of compliance the week its renewal packet is due - with a youth already sleeping there.

The visit that happened but isn’t in the record. The worker made the monthly home visit. The note is in a notebook, in a car, three counties away. Your state gives you a documentation window, and the supervisor finds the gap after it closes - so as far as the file is concerned, the visit never happened. Multiply by every worker, every youth, every month.

The permanency hearing on Thursday. The court report needs six months of home visits, birth-family visitation attendance, school updates, and medical appointments - scattered across a case file, a visitation calendar, and three workers’ memories. A caseworker rebuilds it the night before. Then does it again for the next review hearing.

What that looks like in Kordera.

The placement call → every home on one screen. Each foster home is a living record: license status, capacity, approved ages, current placements, respite history, willing-for-siblings. Filter to the homes that can legally take tonight’s sibling pair and call three, not eleven. Kinship caregivers sit in the same view, with what’s still outstanding on their approval shown right on the record.

The training totals → tracked per foster parent, with expiration reminders. Clearances, certificates, and hour totals live on the home’s record as documents with expiration dates, and the reminders fire before a lapse - not after. Renewal packets go out for signature without DocuSign, and with the training add-on, pre-service and in-service courses can run in Kordera too.

The undocumented visit → the note written in the driveway, with KORA helping. Workers document the visit on a phone before pulling away from the curb, and KORA helps finish the writing on the spot. The supervisor’s board shows which monthly visits are done, due, and overdue - while the window is still open, not after it shuts.

The court report → built from the chart. The visits, the visitation attendance, and every placement change are already in one chart, signed and dated. The report for the review hearing builds from what workers already wrote, formatted the way your court expects - nobody reconstructs six months the night before.

A Thursday, out in the county.

7:40 a.m. - A worker checks her board over coffee: two monthly visits due this week, a supervised visitation at noon, and a fingerprint clearance on the Hendersons’ home expiring in thirty days. Nothing is a surprise yet, which is the goal.

9:15 a.m. - Home visit. She talks with the youth alone, walks the house, and finishes the note on her phone in the driveway. Her supervisor sees the visit turn green before she’s off the street.

12:00 p.m. - Supervised birth-family visitation at the office. Attendance and observations go on the visit record, the next session is scheduled to match the court order, and transportation is assigned on the same calendar.

2:20 p.m. - A placement call for a seven-year-old. The screen filters to licensed homes with an open bed approved for her age - and shows the kinship grandmother whose provisional approval needs one more document. That document gets requested before the call ends.

End of month - The placement days that drive board payments are already in the system - one authoritative set of dates instead of three calendars to reconcile - and the visit-compliance report for the state builds itself from notes workers wrote in driveways all month.

Ready for the day the state pulls the file.

Foster care and kinship agencies are licensed as child-placing agencies against your state’s minimum standards: current home studies, background checks and clearances on file, training hours proven per foster parent, monthly face-to-face contacts documented inside the window, and a traceable record for every home and every youth. Kordera keeps that record as the work happens - every visit note signed and time-stamped, every clearance a document with an expiration date and a reminder, and an integrity-checked audit log underneath all of it.

When an auditor asks for a home’s file - or a youth’s - you produce it, you don’t reconstruct it. Renewal season stops being a scramble and becomes a queue you work down.

What foster care directors ask us.

Is Kordera foster care case management software or an EHR?

Both halves in one record. The case-management half - homes, placements, visits, visitation, court dates - and the youth’s chart with documents, contacts, and health information live in the same system, so nothing gets re-keyed between a “case” system and a “clinical” one.

Can it track foster home licensing - home studies, background checks, training hours?

Yes - that’s the foster home licensing software half of the product. Every home carries its study, clearances, and certificates with expiration dates and reminders, and your licensing worker gets a renewal queue instead of a wall of spreadsheets. We don’t claim a wire into your state’s portal; documents and reports are formatted for what your state expects, so submission is a clean upload.

How does it handle kinship care placements?

Kinship caregivers are tracked from the night the youth arrives, with the provisional or emergency-approval requirements your state uses and a visible list of what’s still outstanding - because the youth is usually in the home before the paperwork is done, and the record should say so.

Our workers live in their cars. Can they document from the field?

That’s the design assumption. Visit notes happen on a phone in the moment, KORA helps get the writing finished before the engine starts, and supervisors watch visit compliance live instead of finding gaps at month end.

How does it help with board payments to foster homes?

The placement days and levels that board payments come from live in the record, so whoever cuts the checks works from one authoritative set of dates - and your per diem billing to the state comes off the same days, with no per-claim fees. One set of placement dates, so the two can’t disagree.

We also do adoption. Does Kordera cover adoption case management?

The same record travels from first placement through finalization - home studies, matching documents, and court dates on one calendar, with signatures handled in-system instead of through DocuSign.
